Company Settings

Introduction

Administrators have a series of options to configure PerformYard within their organization. These options appear on the Home page of their company settings and include settings for custom branding, feature enablement, default start times and dates, and permissions.

Custom Branding

Custom branding, if enabled for your organization, allows you to upload a logo to PerformYard and change the color scheme of your navigation. This may include the PerformYard logo and the Midnight Blue navigation theme by default.

To upload your logo in PNG or JPG file formats, click "Change Logo" and select your logo file. Once uploaded, click "Save" to store your logo. Please note that horizontally-oriented logos are optimal; PerformYard will scale your logo to a height of 35 pixels and then crop to fit within a 35x250 pixel container.

Custom Themes

If you'd like to use a different navigation theme than the two provided by default (Midnight Blue and Slate), then you can create a custom theme. To create a custom theme, click Create Custom Theme and then enter in a color in the box provided. Please enter HEX or RGB color values for each. Once you've got your color, click Create Theme.

After the theme is created, selected it in the Navigation Theme section and then click "Save Changes". You can also reset branding back to the PerformYard defaults by clicking "Reset Branding."

Features

Administrators may choose to disable available features for their PerformYard account. Changing these settings will hide menu options and features from all users in your organization. Further, please note that disabling certain features may result in removing or archiving open items. For example, if goals are disabled, all outstanding goals will be archived, and your users will not be able to access existing goals or create new goals.

Company Settings

Company Settings allows you to set options and preferences that apply to your company, including timezone, handling of manager reassignments, and preferences for precision in calculations.

Default timezone

The time zone is used when setting preferences for notifications; this default will be given to all new users in PerformYard, but then can be managed by each employee individually.  We recommend setting this to cover where the bulk of your team members are located. 

Default review start time

This setting allows you to set a company-wide default start time for reviews and review cycles. The available options - Midnight, 9:00am, Noon, or 5:00pm (default) - match the choices shown when scheduling a review. Once set, this default will automatically apply the selected time when you schedule a new review or cycle.

Default review cycle due time

The Default Review Cycle Due Time setting allows you to select a time that should be used when a review cycle is created and forms are assigned a time they are due. This time is automatically applied when forms are added to a review cycle after selecting a Review Template, when adding an ad-hoc form to the cycle's template, and when adding subjects to a cycle. Available options are Midnight, 9:00am, Noon, or 5:00pm (default) and match the choices shown when setting form due times during review cycle setup.

Please keep in mind that this setting also continues to use the timezone of the user creating the review cycle to determine a due time.

This settings allows you to define how forms are labeled in the employee dashboard.

Reassign all open review forms on manager changes

You can also set a preference for updating incomplete review forms when a user's manager changes. If this setting is Off, all open forms where the prior manager is an author or signer (where they have not completed their action) will remain assigned to that user. When changing this setting to On, when a user's manager changes from one manager to another, outstanding form assignments from the original manager will be updated to be assigned to the new manager. This setting will apply to all future manager changes and incomplete review form author/signer assignments. Note that no changes will be made if a user is updated to no longer have a manager or if a user is updated from no manager assigned to a manager assigned.

Allow managers, chain of command and contributors to assign reviews

This setting determines if a direct report's manager, contributors, or anyone in their chain of command has the ability to assign a review with the employee as a subject.

Allow managers to view Reporting & Analytics

This setting allows you to define if you would like your managers to have access to any shared reports in Reporting & Analytics.

Decimal places for rounding calculations

You can set your preference for the number of decimal places that should be shown on calculation questions.  This setting is global and will apply to the display of past calculation questions and new calculation questions.  The setting is also honored in PDF download and CSV export of a review.

Adding Seats

Billing Administrators in PerformYard have the ability to purchase additional seats during the term of their contract, making it easy to scale the platform as your organization grows.

To begin, navigate to your Company Settings, then select the Billing tab from the menu on the left. This brings you to the Billing page, where you can add or update a credit card, view recent seat purchases, and purchase additional seats.

Purchasing Additional Seats

To add seats, click the Add More Seats button. A window will appear where you can enter the number of additional seats you’d like to purchase. The modal will also display your contracted per-seat rate and the minimum number of seats you can purchase.

As you define the number of seats, a detailed cost summary will appear. This includes the pro-rated price per seat based on the time remaining in your contract, the total cost of the seat purchase, applicable sales tax, and the final amount to be billed. From there, select the Add Seats button to increase the number of seats available to allocate to new users in your organization.

Sales tax is calculated based on the billing location provided by your organization and your status as a taxable entity. If you believe the tax amount or billing information is incorrect, please reach out to your Customer Success Manager for assistance.

Default Notification Settings

PerformYard allows Administrators to set up default notification settings for their organization. Users will always be able to further customize their preferences, but the organization’s default settings serve as their starting point. Your organization's default settings will be provisioned to every new user when they log into PerformYard for the first time. To start, navigate to Administration in the upper right and select Notifications from the left-hand menu.

Daily Notifications

The first page of notification settings allows you to define which notifications users will receive on a daily basis. You can customize each of these notifications to come one of two ways, grouped daily at a select time or individually as soon as possible (ASAP). If you choose the daily option you will need to select whether employees will receive emails once or twice a day as well as what time they should receive those updates. If you select ASAP then an email notification will be sent to employees within 20 minutes of that event taking place within PerformYard.

For each notification topic, you have three options to choose from: 

  • ASAP: Employees will be notified about new items within 20 minutes. 
  • Daily: Employees will be notified about these topics once or twice a day at times that you decide.
  • Off: Employees will not receive daily event notifications about this topic via daily or ASAP notifications.

Weekly Digest

In addition to daily notifications, employees can receive a weekly digest summarizing past events and upcoming due dates. You can define the day of the week and timeframe during the day you’d like employees to receive the weekly digest and use the On/Off for individual topics to tailor the digest to better fit your organization's needs. If you select Off for every topic, you will disable the weekly digest.

Admin Weekly Digest

Administrators can receive an additional weekly email summarizing certain changes to employee information. You can select On/Off on each topic to include it in the default Admin weekly digest. If you select Off for each topic, no Administrators will get the digest by default, but they can turn it on in their personal settings if they’d prefer.
