Using the AI Meeting Workspace Insights Assistant

Introduction

With a PerformYard Enterprise account, a PerformYard Meetings license and the AI Meeting Workspace Insights Assistant enabled, you can transform multiple meetings into clear, actionable insights, saving you valuable time while ensuring no important information is overlooked. By analyzing patterns across all submitted meetings and their content (agendas, action items, and notes), the assistant identifies progress, growth, wins, development areas and more, all aiming to provide a comprehensive picture of performance that might otherwise be difficult to extract from numerous individual meetings.

While it aims to provide concise and accurate overviews, these insights may not always capture all nuances or context from any conversation taking place during the meeting. Please look over all meetings alongside any generated insights to ensure proper interpretation and decision-making.

Meeting Workspace Insights

You can generate new insights or view existing ones at any time by clicking the three dots next to Add Meeting, then selecting AI Insights from the menu. This feature is always available within the meeting workspace, offering real-time support whenever you need it.

When you click the AI Insights button for a meeting workspace without existing insights, our AI Meeting Workspace Insights Assistant immediately begins analyzing all available meetings. Please note that the AI Meeting Workspace Insights Assistant includes all meetings except those marked as "Cancelled." It generates tailored insights based on your company’s configured preferences and the meetings within the meeting workspace, then saves them for easy future access. You can also apply filters within the meeting workspace to focus insights on the meetings that matter most to you. When using filters, cancelled meetings are still excluded automatically. When you click the AI Insights button for a meeting workspace with existing insights, those insights are shown with the ability to be regenerated.

Meeting Workspace Insights for Participants and Admins

PerformYard generates personalized meeting workspace insights dependent on if the user generating the insights is a meeting workspace participant or an admin. Here's how it works:

Each meeting participant has the ability to review their own personalized version of the meeting workspace insights, which includes their private notes, shared notes, agendas, and action items. Because private notes are only visible to the participant who created them, these insights are completely private, no other participants or admins can view them.

Example:

• Jenny and Ian are participants in a meeting workspace.
  • Jenny’s insights will include her private notes + shared content.
  • Ian’s insights will include his private notes + shared content.
  • Neither can see the other’s insights that includes private notes.

Admins have the ability to generate a shared version of the meeting workspace insights, which includes only shared notes, agendas, and action items. Private notes from participants are never included in the admin view. All admins see the same version of insights for a given meeting workspace. Please note , if an admin is also a meeting participant, they’ll receive the personalized version of the insights (including their private notes), not the admin version.

Insights are generated and stored independently for each participant and admin. This means:

• Each user controls when and how they generate insights.
• One user’s insights do not affect anyone else’s.

Everyone has the flexibility to generate insights based on their own access and needs, without impacting others.

Regenerating Insights

After meeting workspace insights are generated, you have the option to refresh insights at any time by clicking Regenerate. This prompts our assistant to generate a new analysis incorporating all meetings, except cancelled ones, taking your company's section preferences into account.
