Getting started with Engagement Surveys

PerformYard’s engagement module will allow your organization to anonymously survey your employees to measure their engagement and satisfaction, and includes a rich analytics dashboard. The feature can also be used in conjunction with our performance management platform to uncover opportunities and act on those opportunities. It is widely believed that more engaged employees are more motivated, productive and have greater contributions to the success of an organization.

Prior to enabling your surveys, you will adjust the settings from the Administration page in PerformYard based on your organization’s preferences and communicate internally to ensure your team is prepared to receive the surveys and understands the importance of completing the surveys. Be sure to:

  • Whitelist PerformYard’s domain send.performyard.com to ensure surveys are received
  • Communicate internally to prepare your team to receive the first survey

Communication

It is important to prepare your organization to receive the surveys and ensure they understand the importance of completing the survey. Giving your team members context for how the survey data will be used, what you are hoping to understand from the data, and how often they should plan to complete the survey will likely encourage higher completion. 

In addition to communicating internally about what to expect prior the first survey, ongoing communication ahead of each survey will help to prepare employees to complete the survey again.

Example Survey Introduction Email:

We’re excited to announce that we are beginning to send engagement pulse surveys through our performance management software, PerformYard. You will receive the first survey starting on [DATE] and will complete a survey once every [FREQUENCY]. 

These surveys will:

  • Be completely anonymous
  • Take less than 5 minutes to complete
  • Allow us to learn more about engagement across the organization, specifically the areas of strength and opportunity we can build on to help develop and stay engaged as a team

Example Ongoing Survey Reminder Email: 

As a reminder, we are completing engagement surveys through PerformYard. The next engagement survey will be sent on [DATE]. 

We had a [PARTICIPATION %] participation rate on the last survey and are looking forward to even more participation on the next survey. Seeing trends over time will help us better make decisions based on the data gathered. We’re looking forward to sharing the results with the team!

Survey FAQ:

  • When will the survey be sent?
    • Once enabled, the first survey will be sent based on the scheduled date and time visible under Administration > Engagement > Pulse Survey Settings
  • How will the survey be sent?
    • The survey will be sent via email from engagement@send.performyard.com
    • The link to the survey is unique to the employee who received it and can only be used once 
  • How is the survey completed?
    • The first survey question will be displayed within the email, once the first question is answered or the Take Our Survey button is clicked, the survey will open in a browser window to be completed
  • How many questions will be included on the survey? 
    • Depending on which questions are included (factor, eNPS, custom questions), the survey length will vary. The number for each specific survey scheduled can be seen from Administration > Engagement > Pulse Survey Settings
